PRIVACY NOTICE OVERVIEW

This Privacy Policy outlines how Min-it Software (referred to as “we”, “our”, or “the Companies”) collect, use, store, and protect personal information in accordance with the Privacy Act 1988 (Privacy Act) and the Australian Privacy Principles (APPs), and recognizes the importance of ensuring the confidentiality and security of your personal information.

Scope and Application

This Privacy Policy applies to all services provided by Min-it Software, including but not limited to websites, online platforms, conferences, training events, and customer support interactions. It also covers data submitted during employment applications and general enquiries.

It does not apply to third-party services or products that have their own privacy policies.

How We Collect Personal Information

We generally collect personal information directly from you. For example, personal information will be collected through our application processes, forms, and other interactions with you while providing you with our products and services, including when you visit our website, call us, or send us correspondence. We may also collect personal information about you from a third party, such as electronic verification services, referrers, and marketing agencies. If so, we will take reasonable steps to ensure that you are made aware of this Privacy Policy. We may also use third parties to analyse traffic at our website, which may involve the use of cookies. Information collected through such analysis is anonymous.

We will not collect sensitive information about you without your consent unless an exemption in the APPs applies. These exceptions include if the collection is required or authorised by law, or necessary to take appropriate action in relation to suspected unlawful activity or serious misconduct. If the personal information we request is not provided by you, we may not be able to provide you with the benefit of our services or meet your needs appropriately.

At Min-It Software, we use the Document Verification Service (DVS) to verify a customer’s identity by confirming that the details on their identity document match the government’s records. The DVS can also confirm that the details are still valid and not expired or cancelled. We do not give you the option of dealing with us anonymously, or under a pseudonym. This is because it is impractical, and, in some circumstances, illegal for Min-It Software to deal with individuals who are not identified.

Unsolicited Information

If we receive unsolicited personal information, we will destroy or de-identify it unless it is relevant to our functions or activities. If retained, it will be handled in accordance with this Privacy Policy.

Data Retention and Storage

We will retain personal data only as long as required to fulfill contractual or legal obligations. Once the purpose is served or you cease using our services, your data will be deleted or anonymized unless retention is legally justified.

Data is securely stored on servers located in Australia. We use encryption, password protection, and access controls. However, we cannot guarantee complete security for data transmitted via the internet, and we encourage users to take precautions, such as securing passwords and using updated software.
